Arranging meetings

Location
To schedule a meeting at the Boston Public Library, call or email the BLC office, 617.262.0380 / admin@blc.org, and provide the date, time and number of people attending the meeting. If special arrangements are needed, such as phone and/or Internet connection or computer equipment, please include detailed information. Refreshments are ordered for each BPL meeting providing the location allows.

The BLC office will assist with arranging meetings outside of the BPL, if requested. A Task Force member should be assigned to work with BLC office staff in making meeting or program arrangements.

Conference calls
To schedule a telephone conference call, contact the BLC office (617.262.0380 / admin@blc.org. Instructions will be provided by email explaining how to connect to the toll free conference call.

Costs
The BLC will cover standard meeting costs including refreshments and conference calls. See Funding, below, for instructions on requesting reimbursements.

Notification
Please notify the BLC office, admin@blc.org, in advance of scheduled meetings. Meeting information, including date, time and location, will be posted to the BLC web site.

Meeting minutes
Final versions of meeting minutes should be sent to admin@blc.org.

All meeting minutes will be posted to the BLC website. Special instructions regarding the posting of minutes, such as omitting confidential information, should be communicated to admin@blc.org.

Reports
All reports should be submitted to admin@blc.org for distribution to the Board and for website posting. Please use the report links on the left hand side of this page.

All reports will be posted to the website. Confidential or proprietary information should be marked as such so that it will not be posted publicly. Full reports, including proprietary and confidential information, will be distributed to staff of member institutions upon request.

Using the BLC Listservs

Getting started
When a new Listserv address has been created for a Task Force, a welcome message will be sent. Each member should respond to this email to confirm that his or her information is correct.

Listserv addresses
The listserv address for each Task Force is posted at the top of the Task Force's roster, on the BLC website.

List members
Each Task Force listserv will include the addresses of all members of the Task Force and their Board and office liaisons.

Only list members may post to BLC lists. The BLC office is available to facilitate listserv communication by forwarding messages. Please send forwarding requests to admin@blc.org.

Task Force pages on BLC website
The BLC website will be updated to include the Task Force roster, meeting schedule, reports and minutes. Additional information and links, including sites developed by Task Forces, will be added at the Task Force's request.

Each Task Force is responsible for submitting updates to the BLC office, admin@blc.org, for the website.

Funding and additional resources
If funding or other resources are needed a written request should be prepared for the Task Force's Board Liaison to present to Management Council. The request should include the following:

  • Resources requested, included the total funds or description of other resources
  • Breakdown of labor, material and other costs, including quotes from vendors or service providers

Reimbursement:
When submitting invoices or receipts to the BLC, please provide information on the amount due, the name of the party to be reimbursed (if applicable), the purpose of the meeting or event, and the address of the payee to:
